01 / THE DIFFERENCE

Where Simplr and Notion differ

Many agencies keep Notion for documentation. Simplr is where the client work moves from brief to invoice.

  1. 01

    Approvals with a record

Simplr keeps every creative version and records who approved it, from creative director to account lead to client. In Notion, approvals are properties and comments you set up.

  2. 02

A portal clients can act in

Notion lets you share pages with guests. Simplr gives clients a branded portal to approve versions, accept scope, send briefs and download files.

  3. 03

    Time and money included

Simplr Plus includes resource planning, time approval, budgets and client invoicing. Notion doesn’t include these, so agencies build databases or add other tools.

02 / SWITCHING

Bring your work across from Notion

You don’t start from a blank workspace. Upload your Notion export in Settings › Import and your clients, jobs and tasks come across with their statuses, owners, due dates and notes.

  1. 01

    Export from Notion

Export your projects or tasks database as Markdown & CSV and upload the .zip. Client, status, assignee and date properties are mapped for you, and project relations group tasks into jobs.

  2. 02

    Check the match

Simplr suggests how each column, status and person maps onto your workflow and team. Change anything that doesn’t look right, and invite people who aren’t in Simplr yet if you want to.

  3. 03

    Review, then import

A dry run shows every client, job and task before anything is saved, and what fits your plan. Importing the same export again later only adds what is new.

Choose Simplr if…

  • Your Notion workspace has become a project system that needs constant care
  • You need creative approvals your clients and team can rely on
  • You want time, budgets and invoices connected to each client
  • You want clients in a focused portal, not in your workspace

Notion may suit you better if…

  • Your main need is a wiki, documentation and shared notes
  • Your team is small and your process is light
  • Cost per seat matters more than built-in agency workflows
  • You want to keep Notion for knowledge and add Simplr for client work

05 / FAQ

Simplr or Notion: common questions

Do we have to stop using Notion?

No. Notion is excellent for knowledge, handbooks and notes. Many agencies keep it for that and run client work, approvals, time and invoices in Simplr.

Notion costs less. What does Simplr add?

Notion Business is $20 per member, against $20 for Simplr Essentials and $50 for Plus. Simplr adds a client portal, versioned scope with change requests and a recorded approval chain, and on Plus, resource planning, time approval, budgets and client invoicing.

Can we move our Notion projects to Simplr?

Yes. Export your projects or tasks database as Markdown & CSV and upload the .zip in Settings › Import. Client, status, assignee and date properties are mapped for you, project relations group tasks into jobs, and you review a dry run before anything is saved.
